Contract Review & Setup
- Confirm receipt of documents with an acknowledgment email
- Enter all key contract dates into the transaction management system
- Review the contract for completeness, proper execution, and compliance
- Notify you if corrections are needed
- Apply your file-naming system for organized document storage
- Submit required under-contract documents to your broker’s compliance department within 48 hours
Document Management
- Support compliance as needed for broker or escrow requests
- Store and track documents for easy access and reference
- Maintain a clean and compliant file throughout the transaction
Client & Partner Communication
- Send the “Next Steps” email to your client, including contract copy with an MLS link to the property
- Send the contract to the title company
- Introduce myself to the buyer’s lender
- Copy you on all communications with your client for transparency
Timeline & Deadline Tracking
- Monitor all contingency deadlines
- Track earnest money deposit and retain the receipt for compliance
- Determine if Wind Mitigation, 4-Point, or permit history reports are needed
- Order inspections, surveys, and home warranty (upon request)
Financial & Appraisal Coordination
- Monitor mortgage and loan processing timelines
- Track appraisal scheduling and completion
- Confirm that insurance is bound and provided to the lender
Title & Escrow Coordination
- Confirm receipt of Earnest Money Deposit (EMD)
- Schedule closing and coordinate with all parties (mail-out, in-person, or e-sign)
- Order a home warranty and ensure the invoice is sent to the title co.
Closing Prep & Completion
- Ensure both title and compliance departments are ready for closing
- Share final details with your client: utility info, walk-through time, and closing logistics
- Deliver a fully organized compliance folder to your brokerage post-closing
Post Closing
- Assist the agent with a client gift
- Send Client a Survey (Google Review link from agent’s business page)
- Scheduling reminders for home anniversary follow-ups
